An experienced administrative professional who has supported multiple team members and has expertise in project management and scheduling.
What You Will Do
The Program Team Administrator (PTA) role advances the work of the Foundation by providing administrative and project management support including calendar scheduling, meeting logistics, expense reporting, and contract management for The Skillman Foundation’s Program Team.
The Program Team leads strategies to improve outcomes for Detroit youth, including making approximately $20M in grants to more than 80 community partners annually. The PTA will be an integral part of the Program Team (currently seven team members). The PTA will directly support the Vice President of Program and Strategy (approximately 50% of your time); will support program officers and administrative projects (50% of your time); and will report to the Program Officer of Strategic Alignment and Execution.
This position is ideal for someone who likes to work in a fast-paced environment, on a variety of tasks and projects, alongside a diverse, mission-driven team.
Responsibilities
Provide administrative and business support on behalf of the Vice President of Program & Strategy by:
- Screening and returning calls and messages to constituents and grant partners
- Maintaining a business calendar by scheduling internal and external meetings and teleconferences, prioritizing meeting requests and routing requests to the most appropriate program team members, and protecting personal time to help support work/life balance
- Assisting with travel arrangements, conference registration, and expense reports
- Providing logistics support for virtual, in-person, and hybrid meetings
- Preparing meeting materials as needed, including assisting with board meeting materials and grant partner correspondences
Provide business support on behalf of the Program Team by:
- Providing assistance with scheduling, travel arrangements, conference registration, and expense reports
- Providing logistics support for virtual, in-person, and/or hybrid meetings
- Attending team meetings and taking minutes, as needed
- Leading the program team’s contract process
- Serving as a project manager and providing updates on team initiatives
Other responsibilities:
- Participating in staff meetings, retreats, professional development learning activities, and other relevant meetings
- Providing back-up support for other administrative team members and teams as needed
Knowledge
- Commitment to the Foundation’s mission and core values of putting kids first and being equity focused, a trusted partner, a continuous learner (world-wise, Detroit smart), and providing support to partners beyond funding (greater than grants)
- Excellent time management skills: able to manage multiple demands, prioritize tasks, meet deadlines, and track details
- Ability to manage and prioritize multiple projects concurrently and effectively
- Skilled in using Microsoft Office 365 or comparable software applications
- Experience using video-conferencing software such as Zoom, Microsoft Teams, or other comparable platforms
- Strong organizational skills and attention to detail
- Ability to build relationships and respectfully as well as effectively work and communicate with people across levels, functions, and culture to achieve shared objectives
Structure
- Minimum Experience: At least 5 to 7 years of professional experience in a related field (i.e., administrative support and project management
- Reporting: This role will report to the Program Officer of Strategic Alignment and Execution
- Job Type: This is a full-time position offering an exceptional benefits package including medical, dental, vision, retirement plan, PTO, flexible work schedule, technology stipend and more
- Salary: The annual salary range for this position is $53,000 to $62,000
