ADMINISTRATIVE ASSISTANT
Function:
This position performs administrative support to the Foundation’s VP, Chief Investment Officer.
Duties and Responsibilities: (other duties may be assigned)
• Answer telephone and forward inquiries as appropriate.
• Perform clerical duties, including but not limited to: photocopying, faxing, mailing, and filing.
• Maintain calendar; manage workflow and schedule meetings.
• Make travel arrangements and prepare expense reports, including maintenance of American Express purchase receipts and cash expenses.
• Open and sort incoming correspondence, including daily mail.
• Prepare draft correspondence.
• Develop and maintain workflow processes and checklists for Investment Group.
• Maintain physical and electronic files and records.
• Perform basic research in Foundation Library and on Internet as requested.
• Coordinate the production and mailing of the Investment Committee books. Assist Investment Group with editing, reviewing and preparing materials for Trustee and Committee meetings.
• Maintain integrity of investment contacts database utilizing Microsoft Outlook.
• Prepare presentations utilizing PowerPoint.
• Perform other miscellaneous clerical duties and project-based work as requested.
• Participate in the Administrative Team, including back up for receptionist as needed.
Relationships:
• Reports to the VP, Chief Investment Officer
• Participates as part of the Investment Group
• Participates as part of the Administrative Team
Experience:
• Previous experience in an investment management or financial services setting preferred.
• Familiarity with different types of investments and securities is beneficial.
This position is part-time, approximately 28 hours per week with potential transition to full-time.
